Accurate, secure and accessible health information is vital to every clinical decision, appointment and research insight at Holland Bloorview. The Health Information Management (HIM) team safeguards this data, ensuring systems run seamlessly and client information stays protected. Leading the team is Viji Thayalan, HIM manager, whose expertise has driven major initiatives since 2012 – from digitizing paper records to supporting new data initiatives. 

HIM’s work impacts client care, clinical workflows, research, quality improvement and compliance, while advancing efficiency and sustainability. Recent efforts include accelerating the digitization of client records to improve access and reduce our environmental footprint.

How did you come to be part of Holland Bloorview, and what has your journey been like so far?

Before joining Holland Bloorview, I worked at Providence Healthcare for nearly 21 years in the HIM department. I was interested in having an opportunity to work in a pediatric setting. Given that both organizations are chronic and rehab facilities, I figured that I could apply my knowledge and skills while continuing to learn some more and grow professionally!

Can you briefly describe your team’s role?

The HIM team is responsible for organizing and safeguarding medical records (both paper and electronic), coding and classifying data, medical transcription, processing the release of information requests and ensuring compliance with laws and standards to protect patient confidentiality. We also support quality improvement and reporting, collaborate with health-care providers to improve health information systems and support the Bloorview Research Institute (BRI) and BSA (Bloorview School Authority) teams with chart reviews.

What key initiatives are you and your team currently working on?

We are collaborating with the strategy team, information management & technology IMT team and health-care providers on implementing the National Ambulatory Care Reporting System (NACRS). As of September 2025, we successfully completed our first submission of Q1 data to the Canadian Institute for Health Information (CIHI) – marking a major milestone in standardized reporting. It was a proud achievement for our team and the organization. This submission enables us to benchmark our ambulatory data against national data from peer organizations, strengthening our ability to develop a learning health system. Through NACRS, we can compare service volumes, clinical activity and patient populations across pediatric rehabilitation settings in Canada. NACRS data also supports decision-making, quality improvement initiatives and broader health system planning. 

We’ve also transitioned psychology raw data scanning in-house, improving record security and support for the psychology team. And we’re digitizing microfiche records (flat sheet of film containing miniaturized images of the documents) to make client information more accessible and secure, streamline workflows, reduce errors and lower costs associated with physical storage – ultimately enhancing efficiency and quality of care.

How do you collaborate with other teams to improve access to health information?

We emphasize the importance of high-quality and timely documentation. This supports clinical care, facilitates the release of information and ensures accurate coding. Collaborating with other teams is essential to maintaining these standards.

What do you find most rewarding about your work? 

Knowing that we’re making a difference. Seeing that we were able to assist not only our organization, but also our clients and their families. I’m proud of the role HIM plays at Holland Bloorview, and I’m grateful for the collaboration and support of other teams that make our work possible.I want to recognize my entire team for their ongoing support and for consistently delivering high-quality work that keeps our department running smoothly. Each member brings strong educational qualifications and relevant experience, which allows us to respond thoughtfully and efficiently to meet the needs of clients and families. 

Are there any upcoming initiatives or changes you’re particularly excited about?

We’re looking forward to supporting any upcoming HIM-relevant projects that are aligned with the hospital’s strategic plan and research institute’s priorities – especially those involving retrospective chart reviews as they allow our team to contribute meaningfully to research and quality improvement in care.

How do you stay motivated in your work?

Professional life can be stressful and demanding due to heavy workloads. I always remind myself and my team of the importance of work-life balance. Doing an excellent job is great, but sometimes the demands of the role can be difficult and intense and it’s equally important to take care of our wellbeing. When things get overwhelming, I take a short break and step away from my desk or go outside for a brisk walk if the weather permits. Developing healthy physical and mental habits has helped me stay focused and resilient.

What are your interests or passions outside of work? 

I love to travel and experience different cultures. I also enjoy giving back to the community and staying connected with friends and colleagues. These experiences keep me grounded and inspired.
